Send one clear RFQ that suppliers can quote on the same basis.

A useful request for quotation defines the displayed product, structure, quantity, branding, packing, approval route and destination. Use this checklist to reduce missing assumptions before comparing custom acrylic or plastic display quotations.

What should a custom display RFQ accomplish?

An RFQ should give each supplier the same commercial and technical starting point. It does not need to solve every engineering detail, but it should distinguish confirmed requirements from open questions so unit prices, tooling, samples, packing and delivery responsibilities can be compared fairly.

Which product information should be included?

Describe what the display must hold and how people will interact with it. Provide product samples, drawings or accurate package measurements when fit, tier spacing or load affects the structure.

  • Product width, depth, height and weight
  • Number of SKUs and units per SKU
  • Loading, shopper access and replenishment direction
  • Counter, shelf, wall or freestanding location
  • Maximum display footprint and height
  • Any stability, cleaning or handling constraints

Which commercial inputs prevent misleading prices?

State the quantity scenario, not just a single number. Separate prototype needs, first production order and possible reorder volume. Ask suppliers to identify exclusions and quote validity instead of assuming every cost is included.

How should branding and artwork be specified?

Identify every graphic zone, required color reference, artwork format and approval method. Do not treat “logo included” as a complete print specification. The supplier must review the actual artwork, substrate and intended viewing conditions.

What packing information belongs in the RFQ?

Packing can change both product protection and landed cost. State whether the display should ship assembled or knock-down, how surfaces must be protected, what labels are required and whether retail-ready or pallet requirements apply.

What should the quotation return to the buyer?

Ask for a written response that identifies the offered structure, material, quantity basis, branding, sample scope, packing, commercial exclusions, delivery responsibility and validity. Project-specific MOQ and timing should be confirmed only after the production route is reviewed.

Which approvals belong before volume production?

Define who approves the drawing, physical sample, artwork and pack-out. Record revisions and acceptance checkpoints so the approved reference is not replaced by an informal message or an undated image.

Can I send an RFQ without a finished CAD drawing?

Yes. Send product dimensions or samples, reference images, required capacity, quantity, branding and destination. Mark the structure as open for design review.

Should I ask every supplier for the same material thickness?

Use the same confirmed specification when comparing like-for-like prices. If thickness is open, ask each supplier to state and justify its proposed material and structure.

Should freight be included in the first RFQ?

State the destination and requested delivery term even if freight is quoted separately. Packing configuration and carton volume can affect the landed-cost comparison.

What if the MOQ is not known?

State the prototype quantity, first-order target and forecast range. The supplier can then review the design-specific production route and explain the relevant MOQ assumption.

Can I send the completed checklist to Zhuochao?

Yes. Use the quote page, WhatsApp or email. Zhuochao will review missing items before confirming project-specific commercial terms.
